The Role
The Project Administrator will play a critical role in coordinating and managing various administrative and contract compliance functions for Plenary Broadband Infrastructure (PBI). This full-time role will support a small, multi-disciplined PBI team and will be expected to bring strong coordination, interpersonal, and organizational skills.
PBI is a consortium of Plenary Americas and Tikehau Star Infra. The company owns, develops, operates, and commercializes middle-mile fiber routes for hyperscalers, telecom carriers, fiber-to-the-home (FTTH) providers and data center operators, including unique routes along the entire Pennsylvania Turnpike Right-of-Way (ROW) and major roadways on the North Carolina DOT and Georgia DOT interstate highway systems. In addition to the various functions performed directly by PBI resources, PBI also subcontracts design, construction, operations and maintenance services to external contractors.
Responsibilities
- Serve as an integral member of the PBI team, coordinating various project management and administrative activities related to the business, including telecommunication design, construction, operations, and commercialization.
- Understand and support all aspects of contract management, including but not limited to, tracking reporting obligations, maintaining corporate calendaring, producing notices and memos, coordinating company deliverables, creating meeting agendas and minutes, crafting presentations, monitoring change and purchase orders, supporting KPIs, confirming warranties and enabling on-site coordination.
- Review and draft service agreements, mutual non-disclosure agreements (NDA’s), contractual amendments and assistance with preparation of design submittals, schematics, technical drawings, etc. associated with the project.
- Coordinate team schedules, meetings, contractor submittals and RFIs, and gather and file close-out documents such as drawings, manuals, etc.
- Liaise with clients, partners, contractors, and other project related personnel and effectively communicate relevant project information to ensure a seamless operation of PBI.
- Manage and monitor various PBI email accounts and website domains, which includes the preparation and distribution of project related correspondence including reports, qualification documents, RFI and RFP’s, presentations, and other confidential communications.
- Manage contract changes and amendments, advising management, project managers and field managers of the status and any issues impacting client relations. Maintain change order database and prepare change order documentation.
- Ensure the adherence of project control procedures and assume primary responsibility for maintaining all project related documentation in various secure, cloud-based applications and databases.
- Monitor deliverables, deadlines, quality of work, and pricing with contractors and other service providers.
- Support the team to maintain PBI compliance with all relevant federal, state, and local registrations.
- Assistance with administrative tasks such as, but not limited to, maintenance of email management software and domains, coordinating couriers, maintenance of customer profiles, etc.
- Support management in other areas as required.
Skills & Qualifications
- Post-secondary education preferably in engineering, business/commerce, or construction management.
- 2+ years of working experience in project coordination and/or management – specifically within telecom, construction, or facility management would be an asset.
- An understanding of contract law and demonstrated contract management experience.
- Sound project management and documentation control skills. Experience using Microsoft SharePoint and scheduling or project management software would be an asset.
- Strong knowledge of Microsoft Office and excellent writing and editing skills.
- Excellent verbal and written communication skills (English).
- Effectively support multiple projects of varying size and complexity under tight deadlines.
- Strong work ethic and high level of personal and professional integrity.
- Work positively within a cohesive team to achieve common goals.
- Strong initiative, enthusiasm, drive and commitment with acceptance of the occasional requirement for extended work hours.
- PPP project experience is an asset.
