The Role

As a Project Administrator at Plenary, you will be responsible for providing administrative assistance to project management teams during design, construction, and facilities management phases. Your strengths fall in the areas of organization, writing, proof-reading, attention to detail, and highly effective administration. You prefer an environment where you can exercise your multi-tasking skills and prioritize successfully. You also understand the importance of discretion when dealing with confidential materials and correspondence.

In this role, you will report directly to the Vice President in our Los Angeles office.

Responsibilities  

  • Serve as an integral member of project management team.
  • Coordinate project team schedules and meetings.
  • Prepare and distribute project-related correspondence including letters, reports, presentations and other communications.
  • Maintain a change order database and prepare change order documentation.
  • Prepare standardized templates for project documentation and tracking of information.
  • Liaise with clients, partners, contractors, and other project-related personnel and effectively communicate relevant project information.
  • Assist project management team with ad hoc tasks relating to projects.
  • Support management in other areas as required, including project proposals and office administration.

Qualifications

  • Post-secondary diploma or degree
  • 3 or more years of office administration experience, preferably in the architecture/ engineering, construction, or facilities management industries
  • Strong knowledge of Microsoft Office
  • Excellent verbal, written, and interpersonal communication skills
  • Effective time management when balancing multiple priorities and deadlines
  • Strong work ethic and high level of personal and professional integrity
  • Team player with commitment to overall project success
